Job title: Receptionist/Communication Assistant

Accountable to: Moderator of the Curia, and receives regular and specific direction, counsel, and duties from the Director of Communications

Job Purpose

The Receptionist/Communication Assistant provides friendly, professional and efficient welcome to guests and callers to the Catholic Center , while also providing digital content production and data management, social media production and management to the Diocese of Jefferson City; and digital communication support to parishes and Chancery departments through training or advising. In addition to these duties, the Communication Assistant provides the Communication team with additional marketing, communication, clerical, and administrative support as needed.

Duties and Responsibilities

  • Consistent with the vision and mission of the Catholic Center, contributes to a positive and healthy work environment for the staff at the Center

Front desk

  • Answers and directs incoming phone calls
  • Welcomes guests, alert staff of their arrival
  • Answers general questions of guests and receives deliveries
  • Writes and makes daily announcements
  • Sends broadcast emails as requested

Social media and website

  • Builds and maintains content calendars for diocesan social media
  • Creates original content (copy, graphics, video), as directed
  • Posts Catholic Missourian content to diocesan website and social media, as directed
  • Monitors and responds to day-to-day communications across all social media channels, as directed
  • Posts content to diocesan website as directed
  • In collaboration with communication team, creates social media marketing plans to promote diocesan events

Data maintenance

  • Updates contact information for parish leadership, clergy, religious, in diocesan database
  • Provides reports to staff or train staff on how to develop reports in database
  • Provides assistance, as available, for maintenance of database of parishioners
  • Provides support (help desk) for parishes using diocesan system of parish websites (Blackbaud system)

General

  • Provides general staff support when requested
  • Performs other duties as assigned
  • Creates a folder outlining and describing the aforementioned duties and responsibilities and updates it regularly (at least semi-annually)

  • Up-to-date on digital marketing trends and practices
  • Strong verbal and written communication skills
  • Welcoming professional presence
  • Skills in database entry, management and report functions
  • Skills in social media posting, basic graphic and video creation
  • Knowledge of Catholic and secular media sources
  • High attention to detail
  • Able to multi-task
